IMPORTANT INFORMATION: Please read carefully before booking.
“Company” refers to Best Travel Cambodia and “Customer” refers to you, the person who agrees to buy the tour and/or any person on whose behalf you agree to purchase the tour and who is listed on the Reservation Form. The word “Tour” refers to the trip being booked by the Customer.
1. THE TOUR CONTRACT
All bookings are made with Best Travel Cambodia. By a booking with us you are deemed to have agreed to these Booking Conditions (which constitutes the entire agreement between Company and Customer) and your booking will be accepted by us on this basis. The services to be provided are those referred to in your booking confirmation invoice.
Dates, itineraries and quotations are valid from now until 30 September 2015. Beyond 30 September 2015, dates, itineraries and tour costs are indicative only.
3. ACCEPTANCE OF BOOKING AND FINAL PAYMENTS
If we accept your booking, we will issue a tour confirmation and Sales Invoice. The tour contract will exist between us from the date we issue the tour confirmation and send Sales Invoice or if you book within 7 days of departure the contract will exist when we accept your deposit. Please refer to your booking confirmation invoice for details regarding final payments. Payment of the balance of the trip price is due 30 days before the departure date. If this balance is not paid on or before the due date we reserve the right to cancel your booking.
4. YOUR DETAILS
In order to confirm your tour arrangements, the balance of the tour cost must be paid off and all requested details must be provided including:
- Your full name as per passport
- Date of Birth
- Passport Number
- Passport issue and expiry date
Plus any pre-existing medical conditions you have which may affect your ability to complete the tour arrangements. If you are 70 years of age or over, we also require you to complete and forward a Self Assessment Form. Your booking cannot be confirmed without the submission of these details.
5. CANCELLATIONS BY CUSTOMER
If you cancel some or all portions of your booking, cancellation fees will apply. A cancellation will only be effective when we receive written confirmation of the cancellation. If you cancel your tour:
- After we send the tour confirmation, we will retain the deposit
- Between 30 and 40 days prior to departure, we will retain the deposit or 50% of the total booking cost, whichever is greater
- Less than 30 days prior to departure, we will retain 100% paid by you in connection with the booking. In certain cases a 100% cancellation fee applies as soon as the booking is made and the ticket is issued. Please ask for full details of cancellation charges at time of booking. You are strongly advised to apply for cancellation insurance at the time of booking which will cover cancellation fees. If you leave a tour for any reason after it has commenced we are not obliged to make any refund for unused services.
6. CANCELLATION BY BEST TRAVEL CAMBODIA
We may cancel your tour at any time up to 30 days prior to departure due to terrorism, natural disasters, political instability or other external events which makes it not viable for us to operate the planned itinerary. If we cancel your tour, you can transfer the paid balance to an alternate departure date or alternatively receive a full refund. In circumstances where the cancellation is due to external events outside our reasonable control, refunds will be the paid amount minuses any unrecoverable costs. We are not responsible for any incidental expenses that you may have incurred as a result of your booking including but not limited to visas, vaccinations, and travel insurance excess or non-refundable flights.
7. BOOKING AMENDMENTS
If you wish to transfer from one vacation to another or transfer your booking to a third party you must notify us at least 30 days prior to the proposed departure date. A fee of USD 150 per person/change will apply (in addition to any charges levied by hotels, ground operators or airlines). If you notify us less than 30 days prior to the proposed departure date the refund policy applicable to cancellations will apply. Transfers to a third party are only permitted where the transferee meets all the requirements in relation to the vacation, and transfers to another departure can only be made to a departure within the current validity period. Amendments to any other arrangements made in conjunction with your tour will incur a USD 100 administration fee per booking per change. This fee is in addition to any charges levied by hotels, ground operators or airlines. No amendments are permitted to your booking within 15 days of departure.
8. AGE AND HEALTH REQUIREMENTS
Minimum General Policy:
For the majority of our tours the minimum age for children is 12. All travelers under the age of 18 must be accompanied by an adult who is responsible for the child’s day-to-day care. Please note we cannot guarantee triple or joining rooms for families, accompanying adults may be required to share with others in the group on a twin share basis.
A minimum age of 18 applies to many Overland adventures, while a lower minimum age applies to Family Tours and Short Break Adventures.
Maximum General Policy:
For the majority of our tours, we have no upper age limit, though we remind you that our vacations can be physically demanding and a Self Assessment Form is required for all passengers 70 years of age and over. We are able to provide details on mandatory health requirements; however, we are not medical experts. It is your responsibility to ensure that you obtain proper and detailed medical advice at least two months prior to travel for the latest health requirements, recommendations for your destination and any tour costs. In case you do not do so and either is not allowed to enter any country, or suffer personal injury or death as a result, we have no liability to you for any rate, loss or damage which you suffer nor will we refund you the cost of any unused portion of your vacation arrangements.
9. PASSPORT AND VISA
You must carry a valid passport and have obtained all of the appropriate visas, permits and certificates for the countries in which you will visit during your tour. Your passport must be valid for six (06) months beyond the duration of the tour. It is your responsibility to ensure that you are in possession of the correct visas, permits and certificates for your tour. We are not responsible if you are refused entry to a country because you lack the correct passport, visa or other travel documentation.
10. CHILD POLICY
- Infant under 2 years old: free of charge land tour and 25% of airfare.
- Child under 12 years old sharing room with adult without bed: charge 50% of adult land tour and 75% of airfare.
- Child under 12 years old sharing room with adult with bed: charge 80% of adult land tour and 75% of airfare.
- Over 12 years old: charge 100% tour cost as an adult.
11. COMPLAINTS AND CLAIMS
Upon your arrival at the destination, you will meet our tour guide or travel consultant. If you have any queries or problems, please ask our travel consultant or contact our office. Please address your complaints directly to Best Travel Cambodia office from which you have bought the tour or email
. Do not wait until you return home. Failure to complain on the spot will result in the possibility of the claim compensation to be extinguished or at least reduced.
12. COMPULSORY TRAVEL INSURANCE
Travel insurance is not included in your tour cost. It is your responsibility to verify whether your health insurance carrier provides coverage while traveling. Please contact your insurance carrier for details. We strongly advise you to purchase a comprehensive travel insurance policy to cover all aspects of your tour: deposit loss due to tour cancellation, lost of baggage and personal items, personal injury and death. A waiver must be signed if insurance is declined.
